How we Bill

At Shalom Solicitors, we believe in transparency, integrity, and clarity in our fee structure, ensuring our clients fully understand and can manage their legal costs. This guide provides a comprehensive overview of our billing procedures, fee structures, and payment options. Our team is always available to discuss any aspects of this guide to ensure you have a smooth experience with us.

We promise to provide key information upfront so you can make an informed decision. Our services are anchored on complete transparency, fair pricing and a no obligation quote based on your specific requirements. These are Shalom Solicitor’s core values.

[i]-Fixed Fees and Cost Estimates
When possible, we offer fixed fees. If this isn’t feasible, we provide a full cost estimate, with stage-by-stage billing according to the work completed. You’ll receive an invoice at each stage, clearly detailing what you’re paying for, ensuring transparency in costs.

[ii]-Payment Options
Once fees are determined, we’ll present various payment options to help you budget and manage expenses effectively.

[iii]-Team-Based Billing (Multiple Solicitors)
While one solicitor primarily manages your case, additional team members may assist as needed, which could affect the hourly rate. You’ll be informed of any changes where applicable.

[iv]-Time-Based Billing
Fees are typically based on the time spent on your case, billed hourly. Short letters and calls are charged at a tenth (1/10th) of the hourly rate, with longer communications billed based on actual time.

[v]-Photocopying Costs
Large volumes of photocopying incur a charge of 20p per sheet. Note that billing remains unaffected by your case outcome.

[vi]-Payment on Presentation
Bills are due upon receipt. Prompt payment is essential to ensure continuous assistance with your case. Non-payment may lead to a suspension of services.

[vii]-VAT Exemption
Hourly rates do not include VAT. Please inform us if you qualify for VAT exemption.

[viii]-Billing Independence of Case Outcome
Fees are based solely on services rendered, regardless of the case outcome, thus remain the same regardless of the outcome of your case.

  • The current categories of Fee Earner and current hourly charge out rates are listed below. The charge-out rates are exclusive of VAT. Our professional fees are referable to the time spent charged in minimal units of 6 minutes (which includes all telephone calls).
  • Charge out rates will apply to all the work done on your case including time spent making or receiving telephone calls, reading incoming post, dictating outgoing letters, preparing file notes of meetings, telephone calls and general file notes, considering and drafting documents, preparing instructions and briefs to barristers, researching law where necessary, attending conferences with barristers, travelling time, attending Court, meetings with you or the lawyers acting for the other person in your case or other persons connected with the matter, taking statements from witnesses etc, and setting up bank transfers.
  • In addition to the charges made by the Banks in respect of fund transfers (which will be advised directly to you if applicable) an additional fee will be charged to you by the firm to reflect the time spent in organising, monitoring and dispatching each funds transfer. The amount will be advised.
  • We will inform you if any unforeseen extra work becomes necessary, for example due to unexpected difficulties or if your requirements or the circumstances change significantly during the matter.
  • We will also inform you in writing of the estimated cost of the extra work before incurring extra costs.

For predictable needs, clients can purchase time in advance, securing a reduced hourly rate and budget-friendly legal support.

  • Fixed Fees for Specific Case Stages

Where applicable, we divide cases into stages with fixed fees for each segment. This structure is particularly helpful for budgeting during longer cases. For certain matters, we offer fixed fees, providing cost certainty for specific resolutions. For some cases, we can apply fixed fees in stages, offering added flexibility.

  • Hourly Rates

In some cases, hourly rates may apply. To manage costs, we’ll invoice regularly, keeping you informed about your case’s progress and estimated final costs. For specific practice area rates, refer to our fee guide or call us at 01634 821 100.

Funding through Civil Legal Aid follows the Funding Code, ensuring costs are proportional to case benefits. Funding is granted only when criteria are met; otherwise, it is refused.

[xii]-Disbursements and Third-Party Costs

Disbursements, or costs payable to third parties (e.g., Home Office, Courts, barristers), are separate from our professional fees. We estimate these in advance and require payment before they are incurred. Please note that VAT may apply to certain disbursements.

[xiii]-Payment Terms

  1. Payment Due Dates and Late Payments: All invoices are payable upon receipt. Unpaid invoices may result in a temporary hold on services. In cases of unpaid balances, interest may accrue at 8% per annum.
